The real cost of messy books

If any of these takes more than a minute to answer, your books are costing you money.

You shouldn't need a finance degree, or a weekend with a spreadsheet, to know whether last month was a good one.

With books closed on a fixed date, every one of these has an answer in your inbox before the month gets busy.

"Does the trust account match the owner ledgers, to the cent?"Buildium · property managers
"Did we actually make money last month?"QuickBooks · Xero
"Why is the bank balance lower than the profit says?"Every business, eventually
"Can owner statements go out on the 10th without me checking each one?"Buildium · property managers

The Fixed-Date Close

Everything that gets in the way of clean books, handled for one fixed fee.

Three guarantees, in writing

You carry none of the risk. We carry all three.

They're in the engagement letter you sign, from the first close.

On time, or that month is free.

Your close lands on the agreed date. If it's late, you don't pay for that month. Not half price: free. Catch-ups carry the same rule against their written finish date.

To the cent, or we fix it free.

Every account we close ties to its statement. If your CPA or auditor finds one that doesn't, we fix it at no charge and that month is free as well.

First month, money back.

If the first close isn't what you expected, tell us within 30 days and we refund it. No forms and no argument.

Guarantees apply when we have the access and answers we ask for by the dates in your engagement letter.

UK hospitalityQuickBooks → Xero

QuickBooks audited, books moved to Xero, service charge paid properly

Situation
A restaurant business on QuickBooks with a chart of accounts that no longer matched how it traded, and a service charge scheme that had to reach staff correctly through payroll.
What we did
Audited the file, rebuilt the chart of accounts around how the business runs, migrated it to Xero, and documented a TRONC process with payroll run in BrightPay.
Where it stands
The business runs on Xero with categories that describe its own trade, and service charge follows a written process every payroll.
CleanupDext

A year of uncategorized transactions, turned into closed months

Situation
Months of transactions sitting uncategorized, accounts that had never been reconciled, and a meeting in the diary where the numbers had to make sense.
What we did
Pulled receipts and bills in through Dext, reconciled each account to its statement month by month, and sent one list of questions instead of a trail of emails.
Where it stands
Each month reconciled to its statement, receipts attached to the transactions they belong to, and open questions kept on one list.
Marketing agencyXero onboarding

Onboarded to Xero, with a close date from month one

Situation
An agency invoicing by project, with bookkeeping that never kept pace and no reliable view of what a month had earned.
What we did
Set the business up in Xero, connected bank feeds and categorization rules, and started a monthly close on a fixed date instead of whenever there was time.
Where it stands
Feeds and rules do the routine work, and the month closes on the same date every month.
Closed on the agreed dateIf a close is late, that month is free.
Difference of $0.00Every account we close ties to its statement.
A reply within one working dayEvery working day, from the first message.

The 14-Day Catch-Up

Months or years behind? One fixed price and a finish date.

Up to twelve months behind is closed within 14 working days of access, oldest month first. Longer backlogs get a written finish date. Miss the date and the catch-up is free. Start Monday and twelve months are closed by the following month.

The problem

A property manager with 180 units on Buildium. The trust account was last reconciled in March, owner statements are going out late, and 1099s are due January 31.

What we do
  • Fixed quote in writing: 7 months × $400 = $2,800
  • Oldest month first, each one three-way reconciled
  • One list of questions, answered in an afternoon
The result

Within 14 working days: seven months reconciled, owner ledgers corrected, a 1099 list ready for January, and the Growth plan at $850 a month from the next close, first month free.

What does Ledgermere do?

Ledgermere is a fixed-fee bookkeeping firm. We do monthly bookkeeping and catch-up bookkeeping inside your own Buildium, QuickBooks Online or Xero account, reconcile every bank, card and trust account to its statement, and close your books on a date agreed each month. We work with property managers and small businesses in the US and UK.

How much does bookkeeping cost for a small business?

At Ledgermere, QuickBooks Online and Xero bookkeeping is a fixed monthly fee set by transaction volume: $250 a month for up to 100 transactions, $400 for 101 to 250, and $900 for up to 400 with a 13-week cash forecast. There is no setup fee, no hourly billing and no contract.

How much does Buildium bookkeeping cost?

Buildium bookkeeping is priced by the number of units you manage: $450 a month up to 100 units, $850 for 101 to 300, and $1,450 for 301 to 600. Every plan includes monthly three-way trust reconciliation, owner statement review and January 1099 preparation. Larger portfolios get a fixed quote after a 15-minute call.

What is three-way reconciliation?

Three-way reconciliation checks that three numbers agree for a trust account: the bank statement balance, the balance in your accounting system's bank register, and the total of the individual owner and tenant ledgers. Many US states require property managers who hold client money to reconcile trust accounts this way on a regular schedule, and it is one of the first things an auditor or real estate commission examiner asks to see.

What is catch-up bookkeeping, and how long does it take?

Catch-up bookkeeping brings books that have fallen behind up to date. Every missed month is categorized, reconciled to its statements and closed, oldest month first. At Ledgermere, up to twelve months behind is closed within 14 working days of access. Longer backlogs get a finish date in writing before work starts.

Do I have to switch software?

No. We work inside your existing Buildium, QuickBooks Online or Xero account. If you have none yet, we set one up in your name and the subscription stays yours. We also move businesses from QuickBooks Desktop to QuickBooks Online, and from QuickBooks to Xero.

Do you prepare 1099s?

Yes. Each January we prepare owner and vendor 1099s from your Buildium or QuickBooks data, check vendor tax details and payment totals, and send them for your approval before they are filed from your software. Recipients' copies are due by January 31.

What access do you need? Is my data safe?

We need a user login in your accounting software and your statements or read-only bank feeds. We never ask for your bank login. An NDA and a data processing agreement are signed before anyone logs in, and if you remove our user we are out the same day.

Who actually does the work?

A small team of bookkeepers based in Lahore, Pakistan, working inside your own software. One named bookkeeper is responsible for your file, answers your messages and signs off every close, so you never re-explain your business.

Do you file tax returns?

No. Ledgermere is not a CPA firm and does not prepare or file income tax returns. Your CPA, enrolled agent or accountant keeps that work. We do the books, and at year-end they get twelve closed months and a cover note before they ask.

What counts as a transaction or a unit?

A transaction is one line on a bank or card statement; add up last month's lines across all your accounts to see which plan fits. For Buildium, a unit is one rentable door, whether it's a house, an apartment or a commercial suite.

What if I want to stop?

There is no contract. Cancel any month. Your books stay in your software, closed to the last agreed date, and the year-end file comes with you.

Can I talk to you on WhatsApp?

Yes. Message us on WhatsApp for a quote or a quick question, any working day. Clients can also use it for the monthly question list if that's easier than email.
